Terms & Conditions

Please review our Terms & Conditions before booking your photo booth rental.

1. BUSINESS INFORMATION

  • Service Provider: West Coast Photo Booth
  • Business Structure: Partnership
  • Service Area: Metro Vancouver, British Columbia
  • Minimum Age: The client must be at least 18 years old to book services.

2. SERVICES PROVIDED

West Coast Photo Booth provides photo booth rental services, which may include but are not limited to:

  • Digital photo booths
  • Photo booths with printing
  • DSLR camera booths with iPad interface, flash, printer, and networking equipment
  • iPad-only booths with built-in ring light (drop-off or self-pickup)
  • On-site attendant services (for attended booths)
  • Setup and takedown
  • Props, backdrops, and custom templates
  • GIFs, boomerangs, online galleries
  • Custom mirrors, signing books, red carpet with stanchions
  • Cellular internet options
  • Shade tents (as required)

Specific inclusions are outlined in the client's booking confirmation or invoice.

3. ATTENDED VS. DROP-OFF BOOTHS

Attended Booths

Most booths include an on-site attendant at all times.

Drop-Off / Self-Pickup iPad Booths

For iPad-only booths without an attendant:

  • The client assumes full responsibility for the equipment from pickup or delivery until return
  • The client is responsible for all loss, theft, damage, misuse, or late return
  • A $250 refundable damage deposit is required
  • Equipment must be kept indoors, secured, and supervised
  • Equipment must not be left unattended in public or unsecured locations

4. EVENT TIME & ACCESS

  • Event time begins at the scheduled start time, not at actual setup or first use
  • The client must provide access for setup one (1) hour before and takedown one (1) hour after the event
  • Delays caused by the client or venue will reduce service time but do not entitle the client to a refund

5. IDLE TIME & OVERTIME

Idle Time

  • Idle time refers to periods where the photo booth is set up and available but not in active use
  • This is limited to pre-determined idle time agreed upon in advance
  • Idle time does not extend the contracted rental period

Overtime

  • Overtime is any service provided beyond the original contracted end time
  • Overtime is billed at $150 per additional hour, charged in 30-minute increments, with a 10-minute grace period at the end of the event to allow guests to clear the line
  • Time exceeding the grace period will be rounded up to the nearest 30-minute increment
  • Overtime is not guaranteed and is subject to West Coast Photo Booth's discretion, staff availability, and venue restrictions
  • Overtime will only be provided upon explicit approval by West Coast Photo Booth and may be authorized verbally or in writing by a pre-authorized client representative during the event

West Coast Photo Booth reserves the right to conclude services at the contracted end time if overtime is not approved, requested, or available.

6. SPACE, POWER & INTERNET REQUIREMENTS

Space

  • Minimum space: 8 ft x 8 ft x 8 ft
  • Flat surface required
  • Ceiling height and width must accommodate backdrops

Power

  • One standard electrical outlet within 20 feet is required
  • Extension cords: $10 per extension cord, if required

Internet

  • Stable internet is required for instant digital sharing
  • If internet is subpar:
  • Prints will continue (if applicable)
  • Digital sharing may be delayed until after the event
  • Optional cellular internet upgrade: $25

7. OUTDOOR EVENTS & WEATHER

Outdoor events are permitted only with adequate protection from sun, rain, wind, and other elements.

  • If West Coast Photo Booth determines a shade tent is required, it will be used
  • Shade tent fee: $100
  • Failure to protect equipment may result in suspension or cancellation of service without refund

8. PRICING & PAYMENTS

Retainer

  • 25% non-refundable retainer required to secure booking
  • Retainer constitutes acceptance of these Terms

Transferability

  • The retainer may be applied to a rescheduled event date within 365 days of the original retainer payment date
  • Request must be made at least 30 days before the event
  • New date must be selected within 2 weeks of cancellation
  • Subject to availability

Final Payment

  • Remaining balance due 48 hours before event start

Payment Methods

  • E-transfer
  • Cash
  • Cheque
  • Credit card (3% processing fee applies)

Non-Payment

Failure to pay by the due date allows West Coast Photo Booth to cancel the booking without refund.

9. CANCELLATIONS & RESCHEDULING (CLIENT)

Client Cancellations

  • More than 30 days before event: retainer retained but transferable
  • 30 days or less: no refunds or transfers
  • No-shows or venue refusal are treated as cancellations with no refund

Rescheduling

  • Allowed only if requested more than 30 days before the event
  • Subject to availability
  • Not guaranteed
  • Within 30 days: rescheduling not permitted except at sole discretion

10. RIGHT TO CANCEL OR SUSPEND SERVICES (WEST COAST PHOTO BOOTH)

West Coast Photo Booth reserves the right, in its reasonable discretion, to cancel or suspend services without refund if but not limited to:

  • Venue or conditions are unsafe
  • Weather threatens equipment or staff
  • Guests are abusive, intoxicated, or destructive
  • Equipment is at risk
  • Illegal, offensive, or prohibited content is used
  • Power or access is unavailable
  • Client breaches these Terms
  • Required payments are not made

Such cancellations are treated as client-caused terminations.

11. DAMAGE, LOSS & GUEST CONDUCT

The client is fully responsible for all actions of guests, venue staff, and third parties.

  • Repair costs will be charged for damaged equipment
  • Full replacement cost applies if equipment is lost, stolen, or irreparably damaged
  • West Coast Photo Booth may stop service immediately to prevent damage or harm

12. NO INSURANCE DISCLAIMER

West Coast Photo Booth does not carry business insurance. The client assumes full responsibility for but not limited to:

  • Guest conduct
  • Venue conditions
  • Damage caused by guests or environment

Clients are strongly encouraged to obtain event insurance.

13. IMAGE OWNERSHIP & MARKETING USE

  • West Coast Photo Booth owns all images and media
  • Clients receive a personal-use license for private events and a limited commercial-use license for corporate events, permitting use on the client's own website, social media channels, and internal marketing materials.
  • This license does not permit resale, sublicensing, third-party use, or paid advertising unless otherwise agreed in writing.
  • West Coast Photo Booth may use images for marketing, website, and social media
  • Clients may opt out by submitting a written request

14. PROHIBITED CONTENT

The booth may not be used for but not limited to:

  • Illegal activity
  • Pornographic content
  • Hate speech
  • Defamatory or offensive material

West Coast Photo Booth may remove props, templates, or overlays at its discretion.

15. TECHNICAL ISSUES & REMEDIES

  • Partial failures may result in a partial refund, based on time and services impacted
  • Total failure due to circumstances within control will result in refund or credit only
  • No liability for indirect or consequential damages

16. FORCE MAJEURE

West Coast Photo Booth is not liable for delays or cancellations caused by events beyond reasonable control, including but not limited to:

  • Weather
  • Power outages
  • Government restrictions
  • Illness
  • Acts of God

Remedy to follow transferability policy covered in section 7.

17. LIMITATION OF LIABILITY

Maximum liability of West Coast Photo Booth is strictly limited to the amount paid under this agreement.

18. SUBCONTRACTORS & SUBSTITUTIONS

West Coast Photo Booth may substitute staff or equipment of equal or greater quality without notice.

19. ACCEPTANCE & ELECTRONIC AGREEMENT

These Terms are accepted by:

  • Website booking form submission
  • Payment of retainer
  • Invoice payment

No signature is required.

20. GOVERNING LAW & DISPUTES

This agreement is governed by the laws of British Columbia, Canada.

Disputes shall be resolved through:

  • Good faith negotiation
  • Mediation
  • British Columbia courts, including Small Claims where applicable

21. GENERAL TERMS

  • Changes must be in writing (email acceptable)
  • Invalid provisions do not affect enforceability of the remainder
  • Terms may be updated on the website with notice
